Center Carpentry is seeking a proactive, technology-oriented Operations Assistant to support company ownership in improving operational systems and administrative processes. This is more than a traditional administrative position. You will manage essential communications and scheduling while helping establish the workflows, procedures, and digital systems that keep the business moving forward.


The right person can take a goal, verbal instruction, or collection of rough notes and determine what needs to happen next. You will bring clarity to scattered information, turn ideas into organized action, and help ownership remain focused on sales, estimating, project management, and building strong client and industry relationships.


Key Responsibilities

  • Manage executive inboxes, company phone communications, calendars, appointments, and priority lists.
  • Coordinate virtual meetings, travel arrangements, and other scheduling logistics.
  • Capture meeting notes and convert discussions into clear, assigned, and tracked action items.
  • Create, document, maintain, and help enforce internal workflows and Standard Operating Procedures.
  • Organize company files, project information, and documentation within Google Drive and JobTread.
  • Draft and format reports, presentations, correspondence, and internal documents.
  • Help manage employee onboarding, offboarding, and related administrative processes.
  • Serve as a dependable point of contact for clients, vendors, trade partners, and other external contacts.
  • Support the flow of information between ownership, team members, vendors, and clients.
  • Research, evaluate, interview, and assist with onboarding business, design, and trade vendors.
  • Gather and organize supplier pricing information to support project estimating.
  • Implement software improvements, automations, and AI-supported workflows.
  • Monitor priority items and follow up to promote accountability and timely completion.
  • Assist with basic marketing, social media, website updates, recruiting, and candidate screening.
  • Research market trends, building-code developments, industry associations, and certifications.
  • Handle sensitive company, employee, and client information with strict confidentiality.

Qualifications

  • Previous experience in construction, residential building, remodeling, or a closely related industry.
  • Exceptional organizational, prioritization, and task-management abilities.
  • Strong written and verbal communication skills for client, vendor, and internal business communication in English.
  • Experience supporting an executive, owner, or small-business leadership team.
  • Advanced proficiency with Google Workspace and digital collaboration tools.
  • Comfortable learning and working within JobTread or a comparable construction-management platform.
  • Strong interest in AI, automation, software systems, and process improvement.
  • Ability to translate verbal direction and rough notes into structured plans and completed work.
  • Able to work independently, anticipate needs, and identify the next appropriate action.
  • Highly accurate and detail-oriented when handling data, documentation, and digital files.
  • Calm, resourceful, and dependable when priorities change or challenges arise.
  • Available and responsive during agreed-upon hours within the U.S. Eastern Time business day.
  • Able to exercise excellent judgment, integrity, and discretion with confidential information.

Pay and Benefits

  • Part-time, 20 hours per week. Independent contractor role.With the option to transition to a full-time position in the future. 
  • Pay range: $8 - $10
  • Fully remote position with scheduling flexibility.
